From booking to bank account: a booking made a median 42 days ahead turns into money only after the guest arrives

October 21, 2026

木の机に置かれたカレンダーと通帳のような冊子

Nothing reaches the owner's bank account on the day a booking is made. The platform pays out after the stay has begun, and the money then passes through the bank before it lands. Our bookings come in a median 42 days before arrival, so half of what is booked today turns into money six weeks or more from now.

The figures are the record of our own three buildings and six rooms: 489 bookings over October 2025 to September 2026 (measured 1 October 2026, published as operating data). This article is not about reading the profit and loss statement; it is about the time it takes revenue to become cash. Reading the P/L line by line is covered in rental income and costs.

When does the money actually move after a booking?

After the guest's stay begins, not on the day of the booking. Most booking platforms collect the guest's payment but hold it until the stay has started before sending anything to the host side.

Across our rooms, 92.2% of nights came through a single platform over the same twelve months (where bookings come from), so in practice our payout timing was that platform's payout rule. The exact release day and how long the transfer takes depend on the platform's terms, your payout settings and the receiving bank. Check the dates on each platform's payout settings page rather than relying on a figure from an article, including this one.

Why do the booking month, arrival month and payout month differ?

Because the gap between booking and arrival is long, and the payout comes after arrival. A 42-day median means half of the bookings taken this month are for arrivals the month after next or later (booking lead time).

With stays averaging 3.3 nights, a booking that arrives at the end of a month runs into the next one. The same booking lands in a different month depending on whether revenue is counted by booking date, arrival date, night by night, or payout date. None of these is wrong; each answers a different question, but mixing them is how a report and a bank statement stop agreeing. When you receive a monthly report, the first thing to establish is which date it counts by (the monthly owner report).

Which costs leave before the money arrives?

Supplies bought in stock go out first; electricity and gas bills come after. Cleaning happens at every changeover, and the cleaning fee that covers it arrives in the payout for the same booking.

Over our twelve months, cleaning came to 17.0% of revenue, supplies 4.4%, electricity 2.7%, gas 0.7% and lodging tax 1.6% (measured 1 October 2026, operating costs broken down). Lodging tax (宿泊税, a per-guest-night tax set by the local authority) may arrive together with the guest's payment, but it is not the owner's money: it is held until it is paid over at filing (lodging tax in practice). An owner who watches only the account balance will end up spending it.

Supplies4.4%Before (bought in stock)
Cleaning17.0%At each changeover; the cleaning fee arrives in the same payout

When does a newly opened property receive its first payout?

After the first guest arrives. Not on the day the listing goes live, and not on the day the first booking comes in.

Before that, the furniture and equipment, the first round of supplies and the permit costs have already gone out (first furniture and equipment). Half of our bookings come in six weeks or more ahead of arrival, so plan your cash on the assumption of a gap of more than a month between opening the listing and the first payout. A new listing can fill differently from an established one, so the length of that gap is not a figure we can promise (how long it takes to open).

Where are the operator's fee and the costs deducted?

It depends on whose account the payout goes to. There are two arrangements; which one a property uses is decided after a viewing and written into the contract.

Either way, three things belong in the contract: the settlement date, the definition of the revenue the fee is charged on (before or after platform fees and cleaning fees, see reading a management contract), and how statements are issued. Our fee is 20% of revenue plus actual costs for cleaning and supplies.

What happens to the payout when a guest cancels?

If the cancellation comes before the payout, only what the cancellation policy allows comes in. The amount shown when a booking is made is not confirmed income until the guest arrives.

How much is refunded is decided by the cancellation policy chosen on the platform. When you plan cash from the list of upcoming bookings, do not count bookings that have not yet arrived as money in hand. Whether the operator's fee applies to cancellation charges is, again, a question of how the contract defines revenue.

How can an owner check the flow of money themselves?

Match three records: the booking-by-booking list, the platform's payout statement and your bank account. If all three agree booking by booking, no money has gone missing along the way.

  • Check the payout timing and receiving account in each platform's payout settings
  • Match every line of the payout statement to a booking on the list
  • Confirm whether the monthly report counts revenue by booking, arrival, night or payout date
  • Record the lodging tax held separately from the account balance

When not to hire us

If, after paying for the opening, your plan cannot carry the gap to the first payout from cash in hand, rework the financing first. Changing operator does not make the money arrive sooner: payout timing is the platform's rule, not ours. If the property is farther from the Greater Tokyo area and Sapporo, we consider it case by case, including whether we can reach it.

Besides properties under the hotel-business permit (旅館業許可), we also consult on properties under the minpaku law. The days and shares above are the record of our own six rooms, not a promise about bookings or payout timing at a property we have not seen.

Questions we get

How long after a booking does a Japan rental owner get paid?
The platform pays out after the guest's stay begins, not when the booking is made, and the bank then takes its own processing time. Our six rooms take bookings a median 42 days before arrival (measured 1 October 2026), so half of all bookings take six weeks or more to turn into money. Check the exact release day in each platform's payout settings and terms.
When does a newly opened rental receive its first payout?
After the first guest arrives. Furniture, equipment and the first supplies are paid for before that, so it is safer to plan cash for a gap of more than a month between opening the listing and the first payout. A new listing fills in its own way, so the length of the gap cannot be promised.
When is the operator's fee deducted?
It depends on where the payout goes. Either the whole payout reaches the owner's account and the operator invoices afterwards, or the operator receives it and transfers the remainder after its fee and costs. In both cases, have the settlement date and the statement format written into the contract. AG STAY's fee is 20% of revenue plus actual costs for cleaning and supplies.
Is lodging tax included in the payout?
It can arrive together with the guest's payment, but it is not the owner's money: it is held until it is paid over at filing. Across our six rooms it came to 1.6% of revenue over twelve months (measured 1 October 2026). Record it separately from the account balance, or it will not be there when it is due.
