A short-term rental in Japan is wound down in the reverse order it was opened. What was added last, the listing and its calendar, is closed first. What was added first, the permit and the work in the building, is dealt with last. Do it the other way round and you have bookings left over a permit you have already closed.
We run three buildings and six rooms in Tokyo and Sapporo, all under a hotel-business permit (旅館業許可, the licence a Japanese inn operates under). Every figure here is our own, measured in October 2026 over the twelve months from October 2025 to September 2026, with the method published at operating data. The opening sequence is in starting a rental in ten steps.
When you stop running a rental, what ends, and in what order?
Ten steps, ordered so that the things that cause trouble if left open are closed earliest. The first costs nothing and can be done the same day.
| Step | What happens | Who does it |
|---|---|---|
| 1 | Set the last night and stop selling beyond it | Owner and operator |
| 2 | List the bookings already in; keep them or contact the guests | Operator |
| 3 | Give notice under the management contract | Owner |
| 4 | Stop reordering supplies and use up the stock | Operator |
| 5 | Last checkout and final clean | Operator and cleaners |
| 6 | Sell, move or keep the furniture | Owner |
| 7 | End the utility, internet, lock, cleaning and inspection contracts | Whoever each contract is in the name of |
| 8 | Decide whether to close or keep the listing account | Whoever the account belongs to |
| 9 | Ask the health centre and fire station what is needed, and do it | The permit holder |
| 10 | Collect the figures up to the last month and close the books | Owner |
What is the first thing to do on the day you decide?
Set the last night you will sell, and close every date after it that same day. Until the calendar is closed, bookings keep arriving further and further ahead.
Across our 489 bookings, the median time from booking to arrival was 42 days. On the day an owner decides to stop, roughly half the bookings for the next six weeks are already in, and a scattering sit further out still (booking lead time). If the last night is set to the checkout of the last booking already on the calendar, nobody has to be contacted. Only when the end date is fixed by something else does the list of bookings beyond it go to the next step.

What happens to the bookings already on the calendar?
Wherever possible, honour them and finish after the last one. A cancellation by the host breaks a guest's travel plans and is also handled under each platform's own terms, so moving the end date is usually the cheaper path.
If the date cannot move, contact guests in order of latest arrival first, early and with a reason: the closer the date, the harder it is for them to find somewhere else. How each site treats a host cancellation is set in its own terms, so check those directly. When a sale has a fixed handover date, count back from it to the day sales stop.
When should notice go to the management company?
On the same day sales stop, following the notice period in the contract. If the notice runs out before the last night, nobody is clearly responsible for the guests still to come.
In the contract, look at the length of notice, how it has to be given, what happens to bookings between notice and the end date, what any termination charge is based on, and whose name the furniture, lock and cleaning are in. We set out how to read all of this in eight clauses that set the price of leaving. Under a master lease (サブリース) the date the property comes back and what happens to the furniture are fixed by that contract, which changes the order (master lease or management).
How do supplies and furniture get cleared?
Stop reordering supplies counting back from the last night, and use up what is on the shelf. Supplies are 4.4% of revenue in our own rooms and are used up and restocked with every changeover, so if nobody stops the orders, a shelf's worth is left over on the last day.
Furniture depends on the exit. Letting it as a home may mean leaving some in place; moving in means keeping it; a sale means agreeing it with the buyer, selling it or moving it to another property. Furniture came ninth in the opening sequence because part of its cost comes back when it is sold, and that holds on the way out too (furniture and fittings).

Who ends the utility, lock and cleaning contracts?
Whoever each contract is in the name of. Contracts the operator signed are ended by the operator, contracts in the owner's name by the owner, so the first job is a list of names.
End them no earlier than the day after the final clean: power and water are needed until the cleaners leave, the smart lock until the last guest does. If the property is being let or moved into, transferring electricity, gas and internet can be quicker than cancelling them (whose name the utilities are in, key handover). Decide here what happens to the fire-equipment inspection contract as well (fire inspections).
What happens to the permit and the listing account at the end?
On the permit, the answer is not ours to give: it comes from the health centre (保健所) that issued it. Ask three things: whether a notice is needed when the business stops, what has to be submitted and by when, and, for a sale, whether a buyer can carry on under the same permit. Ask the fire station whether anything is needed for the fire equipment. Whether the building needs any procedure to be a home again is a question for the local building counter or the architect.
Before closing the listing account, ask whether there is a reason to keep it. Our six rooms hold 398 reviews at an average of 4.9, and those reviews belong to the account, not the building (whose name the booking accounts are in). If there is any chance of reopening, unlisting and keeping the account is cheaper than starting again from zero.
What changes between selling, letting and moving in?
Two things: who decides the end date, and what is left in the building. A sale fixes the handover date first and everything is counted back from it. Letting and moving in leave the end date to the owner, so the bookings already in can all be honoured.
| Exit | What sets the end date | Furniture | Who to ask |
|---|---|---|---|
| Sale | Handover date | Agree with buyer, sell or move | Health centre (can the permit continue), buyer |
| Letting as a home | Last booking already in | Leave some or clear it | Health centre, building counter |
| Owner's own use | Last booking already in | Keep as it is | Health centre, fire station |
Is there anything to consider before stopping?
If the reason for stopping is unhappiness with how the rental is run, compare switching first. Changing operator without pausing bookings is covered in switching management companies, and with one property close to home, running it yourself is set out in self-managing or hiring an operator. Whether to stop is the owner's decision, not ours.
When an owner whose property we run decides to stop, we follow this same order. The listing account and its reviews are in the owner's name from the start, the monthly figures are handed over as usual up to the last month, and notice follows the contract. Every figure here is from our own rooms, not a promise for anyone else's property.
